Supplier Management — Guide for claimed shop owners & managers
Simple, non-technical guide to help you add, edit, view and manage supplier relationships for your shop.
What this feature does (quick overview)
Supplier Management is where you store and manage the companies or people who supply you goods or services. Use it to keep contact details, payment terms, lead times, logos, and notes in one place — so ordering, accounting and stock planning are easier.
Who can use it
Only users who have claimed the shop (owner or authorized manager) with an active plan can add, edit or delete suppliers. If you lose access, check your claim status or speak to the account that claimed the shop.
Main things you can do
See a list of suppliers with search, filters and sorting.
Add a new supplier with contact details, payment terms and a logo.
View supplier details (contact person, email, address, currency, notes).
Edit supplier info when terms or contacts change.
Delete a supplier (removes their record and logo).
Upload and update a supplier logo for quick visual identification.
How to add a supplier — step by step
Open Supplier Management for your shop and click Add Supplier.
Fill required fields:
Name (supplier company or person) — required.
Contact email — required and must be unique.
Category —
products,services, orboth.Currency — currency you deal with (INR, USD, etc.).
Optional but helpful fields:
Phone, contact person, address, tax ID, delivery lead time (days), payment terms (advance / net 30 / net 60 / COD), short description, logo image.
Click Save. The supplier will appear in your supplier list.
Editing a supplier
From the suppliers list, click Edit next to the supplier.
Update any fields (email must remain unique).
To change the logo, upload a new image — the old logo will be removed automatically.
Save changes.
Deleting a supplier
Click Delete on the supplier row. This removes the supplier and any stored logo.
Make sure the supplier isn’t referenced by active processes you need (e.g., internal records). If unsure, download or copy details before deleting.
Fields explained (plain language)
Name — Supplier company or main contact name.
Contact email — Where you’ll send purchase orders and communication.
Phone — Supplier phone number.
Category — Do they provide products, services, or both?
Address — Supplier address (useful for delivery or invoicing).
Description — Short notes about the supplier (e.g., specialties).
Payment terms — How the supplier expects payment (advance, net 30, net 60, COD).
Delivery lead time — Typical days from order to delivery.
Currency — Currency they invoice you in.
Contact person — Name of the main contact at the supplier.
Tax ID — Supplier GST/VAT/tax number (if any).
Logo — Small image to help identify supplier in the list.

Keep payment terms and lead times updated — helps when planning purchase orders.
Use contact email & phone for quick re-ordering and dispute resolution.
Store tax IDs for faster bookkeeping and GST/VAT handling.
Use categories (products/services) so you can filter suppliers when creating purchase orders.
Upload a logo for frequently used suppliers — it speeds up visual lookup.
Searching, sorting & filters
Search by name, email or phone to find a supplier fast.
Filter by category (products, services, both) to narrow results.
Use sort options (newest, name, lead time) to organize the list to your preference.
Troubleshooting — quick fixes
“Contact email must be unique” — another supplier already uses that email. Use the supplier’s other email or edit the existing supplier if it’s a duplicate.
Logo won’t upload — make sure image is under 5 MB and is a JPEG/PNG.
Can’t access Supplier Management — confirm you’re logged into the account that claimed the shop and the claim is active.
Deleted by mistake — recreate the supplier. If you need old data, check backups or export features if available.
Permissions & safety
Only the shop owner or an authorized user (with an active claim) can create, edit or delete suppliers.
Changes are logged (who made them and when) so you can track edits.
